Project Contacts - Overview

There are two types of Project Contacts:

  • Direct Project Contacts - Project Contacts that have direct responsibility for managing, or for having oversight of the project such as Project Manager(s), Superintendent(s) or Estimator(s). These contacts must be setup first as Users in the system and then they can be setup as the direct Project Contacts on the Project Details form. Although permissions can be modified for Direct Project Contacts, by default they are given mostly full access to all project information.
  • Other Project Contacts - Project Contacts, such as Owner(s), Architect(s), Contractor(s), Subcontractor(s) and Vendor(s), that can be recorded for the Project for easy reference and they can be assigned to items on project. These types of Contacts are sometimes referred to as the Project Address Book. These contacts can just be references only (i.e. they can't access the system update it) OR they may be setup as users to access the system and view information and make updates to the items to which they are assigned. Although permissions can be modified for the other Project Contacts, by default they are usually given restricted access.

A Direct Project Contact can also be set as a "Other Type of Contact" to be assigned to project items.

Direct Project Contacts

Up to two of these types of Project Contacts can be setup per project.

The user that creates the project in the system is automatically setup as the first Project Contact. This can be changed but at least one Project Contact is required.

The second Project Contact is optional.

The examples of Direct Project Contact Types; such as Project Manager(s), Superintendent(s) or Estimator(s) are referred to as Company User Types. The types listed are what is setup by default in the system but they are user-definable by the Administrators.

Direct Project Contacts are added/edited/removed for a Project on the View/Add/Edit Project Details form.

Other Project Contacts (Project Address Book)

Other Project Contacts can be used in the following ways:

  • Action Items (assign the action item to the contact)
  • Punch Lists (assign the punch list item to the contact)
  • Tasks in a Schedule (assign the task to the contact)
  • RFIs (assign the RFI to a contact, distribute the RFI to a contact, set who the RFI is requested by from the contacts, set the ball to be in a contacts court)
  • Submittals (set who the submitter was from the contacts, set who the approvers are from the contacts, set the ball to be in a contacts court, select contacts to be on the distribution list)
  • Contracts (set contacts for the contract including the client or architect)
  • Direct Costs (who the vendor is for the direct cost and who is was reported by)
  • Commitments (who the contracted company is or the invoice contact)

The examples of Other Project Contact Types; such as Owner(s), Architect(s), Contractor(s), Subcontractor(s) and Vendor(s) are referred to as User Types. The types listed are what is setup by default in the system but they are user-definable by the Administrators.
