Assign Change Request Line Items to Contracts and Commitments - Overview

A Change Request is used for pre-approval of a change (see Change Requests - Overview for more information).

A Change Request has a Schedule of Values that has individual Line Items that outline the details for the Change (see Change Request - Schedule of Values - Overview).

Each Line Item on the Change Request Schedule of Values can be assigned to a:

  • Contract Change Order with the Owner/Architect - so the actual change can be approved, managed and invoiced to the Owner.
  • To a Commitment or a Commitment Change Order with a Vendor or Subcontractor - so they can be hired to do the change work, that work can be managed and then the Vendor or Subcontractor can be paid for the work.

Assigning Change Request Line Items to a Contract Change Order and Commitment or Commitment Change Order enables easy management of the approved change (from the Change Request) to both the Owner/Architect as a Contract Change Order and/or the Vendor or Subcontractor as a Commitment or Commitment Change Order.

In addition, there is functionality to be able to send an RFQ to a Vendor or Subcontractor for quotes on the work.

RFQs

RFQs can be sent for Change Requests that are in any status except the Rejected or Void Status. See Change Request - RFQ.

Ways to assign Change Request Line Items to Contracts and Commitments

Contract Change Orders

There are multiple ways to assign the Change Request Schedule of Values Line Items to Contract Change Orders:

  • During the Creation or Maintenance of the Contract Change Order Schedule of Values - Add the Line Items automatically from the Change Request Schedule of Values.
  • During the Creation or Maintenance of the Change Request Schedule of Values - Select Line Item(s) and create the Line Item(s) automatically on a Contract Change Order Schedule of Values.
  • From the Change Requests List - Select Line Item(s) and create the Line Item(s) automatically on a Contract Change Order Schedule of Values.
  • From the Contract - List of all Change Requests - Select Line Item(s) and create the Line Item(s) automatically on the Contract Change Order Schedule of Values.

Commitments or Commitment Change Orders

There are multiple ways to assign the Change Request Schedule of Values Line Items to Commitments or Commitment Change Orders.

  • Associate Change Request Schedule of Value Line Item to specific Line Item on the Commitment or Commitment Change Order Schedule of Values:
    • During the Creation or Maintenance of the Commitment or Commitment Change Order Schedule of Values - Add the Line Items automatically from the Change Request Schedule of Values.
    • During the Creation or Maintenance of the Change Request Schedule of Values - Select Line Item(s) and create the Line Item(s) automatically on a Commitment or Commitment Change Order Schedule of Values.
    • From the Change Requests List - Select Line Item(s) and create the Line Item(s) automatically on a Commitment or Commitment Change Order Schedule of Values.
    • From the Contract - List of all Change Requests - Select Line Item(s) and create the Line Item(s) automatically on a Commitment or Commitment Change Order Schedule of Values.
  • Associate the Change Request Schedule of Values Line Item to the Commitment or Commitment Change Order generally (without being associated to an actual Line Item on the Commitment or Commitment Change Order Schedule of Values).
