Assign Change Requests Schedule of Value Line Items to Commitments

This is help for assigning Change Request Schedule of Value Line Items to Commitments or Commitment Change Orders and for the Grouped List View. See Change Requests - Multiple Lists and Views for more information.

Change Request Schedule of Value Line Items can be assigned to

  • The Commitment or Commitment Change Order generally (without being associated to an individual Line Item on the Commitment or Commitment Change Order Schedule of Values)

OR

  • A specific Line Item on the Commitment or Commitment Change Order Schedule of Values.

In most cases, the goal would be to assign the Change Request Schedule of Values Line Item to a Commitment or Commitment Change Order Schedule of Values Line Item (i.e. to have a one to one relationship for the Line Items).

However, there may be circumstances where a one to one Line Item relationship is not ready to be created or doesn't fit the circumstances, therefore, the Change Request Schedule of Value Line Item can be associated to the just the Commitment or Commitment Change Order and not a specific Line Item on the Commitment or Commitment Change Order Schedule of Values Line Items.

Generally, if the association is to be to a specific Line Item on the Commitment or Commitment Change Order Schedule of Values, the Line Items will need to be created with that association (and there are multiple ways to do this).

If the Line Items are created on the Change Request Schedule of Values and the Commitment or Commitment Change Order Schedule of Values separately without the Line Item to Line Item association, then that can not be created later on. In this case, the only association that can be created is from the Change Request Schedule of Value Line Items to the Commitment or Commitment Change Order generally (without being associated to an individual Line Item on the Commitment or Commitment Change Order Schedule of Values).

Each method of creating the association is described below.

Associate Change Request Schedule of Value Line Item to specific Line Item on a Commitment or Commitment Change Order Schedule of Values

There are multiple ways to do this:

During the Creation or Maintenance of the Commitment or Commitment Change Order Schedule of Values - Add the Line Items automatically from the Change Request Schedule of Values

This process would be to:

  1. Create or maintain the Change Request Schedule of Value Line Items.
  2. Create or maintain a Commitment or Commitment Change Order.
    1. For the Schedule of Values automatically add all the Line Items from the Change Request Schedule of Values.

With this method, the association is created during the Add of a new Commitment or Commitment Change Order or the Edit of an existing Commitment or Commitment Change Order.

With this method, the association between the Change Request Schedule of Value Line Items and the Commitment or Commitment Change Order Schedule of Value Line Items is automatically created.

This association can be determined by the display.

The Change Request Schedule of Values Line Item will display the Commitment number with a green check mark to indicate it has been associated to a Commitment or Commitment Change Order Schedule of Values Line Item. (The blue text can be clicked on to go to the Commitment or Commitment Change Order View/Edit form).

The Commitment or Commitment Change Order Schedule of Values Line Item will have an blue asterisk before the Line Item number to indicate it is from a Change Request.

The Commitment or Commitment Change Order on the Change Request Schedule of Values Line Item can not be changed or removed once the association is created. The only way to remove the association is to delete the Line Item on the Commitment or Commitment Change Order Schedule of Values. If this is done, the Commitment or Commitment Change Order will be removed from the Change Request Schedule of Values Line Item (however, the Company will not change).

During the Creation or Maintenance of the Change Request Schedule of Values - Select Line Item(s) and create the Line Item(s) automatically on a Commitment or Commitment Change Order Schedule of Values

This process would be to:

  1. Create or maintain the Change Request Schedule of Value Line Items.
  2. From the Change Request Add or Edit form on the Schedule of Values component, select the one or more Schedule of Values Line Items
    1. Create new Line Items on an existing Commitment or Commitment Change Order Schedule of Values (that match the Line Items on the Change Request Schedule of Values that were selected).
      OR
    2. Create a new Commitment or Commitment Change Order and create new Line Items on the new Commitment or Commitment Change Order Schedule of Values (that match the Line Items on the Change Request Schedule of Values that were selected

With this method, the association is created during the Add or edit of Change Request.

With this method, the association between the Change Request Schedule of Value Line Items and the Commitment or Commitment Change Order Schedule of Value Line Items is automatically created.

This association can be determined by the display outlined above.

From the Change Requests List - Select Line Item(s) and create the Line Item(s) automatically on a Commitment or Commitment Change Order Schedule of Values

This process would be to:

  1. Access the Change Requests List.
  2. From the Change Requests list, select one or more Schedule of Values Line Items from one or more Change Requests.
    1. Create new Line Items on an existing Commitment or Commitment Change Order Schedule of Values (that match the Line Items on the Change Request Schedule of Values that were selected).
      OR
    2. Create a new Commitment or Commitment Change Order and create new Line Items on the new Commitment or Commitment Change Order Schedule of Values (that match the Line Items on the Change Request Schedule of Values that were selected).

With this method, the association is created from the list of existing Change Requests.

With this method, the association between the Change Request Schedule of Value Line Items and the Commitment or Commitment Change Order Schedule of Value Line Items is automatically created.

This association can be determined by the display outlined above.

From the Contract - List of all Change Requests - Select Line Item(s) and create the Line Item(s) automatically on the Commitment or Commitment Change Order Schedule of Values

This process would be to:

  1. Access the Contract - List of all Change Requests.
  2. From the Contract - List of all Change Requests, select one or more Schedule of Values Line Items from one or more Change Requests.
    1. Create new Line Items on an existing Commitment or Commitment Change Order Schedule of Values (that match the Line Items on the Change Request Schedule of Values that were selected).
      OR
    2. Create a new Commitment or Commitment Change Order and create new Line Items on the new Commitment or Commitment Change Order Schedule of Values (that match the Line Items on the Change Request Schedule of Values that were selected).

With this method, the association is created from the Contract - List of all Change Requests.

With this method, the association between the Change Request Schedule of Value Line Items and the Commitment or Commitment Change Order Schedule of Value Line Items is automatically created.

This association can be determined by the display outlined above.

Associate the Change Request Schedule of Values Line Item to a Commitment or Commitment Change Order generally (without being associated to an actual Line Item on the Commitment or Commitment Change Order Schedule of Values)

This process would be to:

  1. Create or maintain the Change Request Schedule of Value Line Items.
  2. From the Change Request Add or Edit form on the Schedule of Values component, add or edit individual Line Items
    1. Click in the Commitment drop down to select a Commitment or Commitment Change Order to assign the Line Item to generally (i.e. not being associated to an actual Line Item on the Commitment or Commitment Change Order Schedule of Values)

With this method, the association from Change Request Schedule of Value Line Item to Commitment or Commitment Change Order is created during the Add or edit of the Change Request Schedule of Values Line Item.

With this method, the association between the Change Request Schedule of Value Line Items and the Commitment or Commitment Change Order Schedule of Value Line Items is manually created.

This association displays differently:

The Change Request Schedule of Values Line Item will display the Commitment number to indicate it has been associated generally to a Commitment or Commitment Change Order Schedule of Values Line Item.

Note* There will not be a green check mark as it isn't associated to an individual Line Item on the Commitment or Commitment Change Order Schedule of Values.

The Commitment or Commitment Change Order on the Change Request Schedule of Values Line Item can be changed as long as the Change Request is in Status that enables editing (i.e. is not Approved, Void or Rejected). In the above example, it can be changed and is a drop down.

If it can't be changed, then it will not be editable, however the blue text can be clicked on to go to the Commitment or Commitment Change Order View/Edit form.

There will be no impact on the display of the Commitment or Commitment Change Order Schedule of Values Line Item as there is no association at the Line Item level.
