Send an Invitation to Bid

JobPlanner has a fully featured invitation to bid system which includes:

  • Sending Invitation to Bids
  • Managing Invitation to Bid Responses
  • Managing the Award process

This functionality is only available with the Enterprise Version of the system.

To Send an Invitation to Bid

  1. Click on the Project Menu option bar.
  2. Click on Messaging in the Bidding section.

The Bidding List displays.

The first step is to add Bid Participants. JobPlanner has robust features to identify Bid Participants including

  • By Trades
  • By Proximity to the Project
  1. Click the Add Participants button.

A drop down displays with a variety of options.

  1. To keep it simple, select Quick Search. The Select Contacts form displays. It will show the two Project Contacts that were entered.
  1. Click on the box in the far left on the row of the Project Contact to select.
    It will be filled in blue to indicate its selected.
    1. Click the Save button.

The Contact is listed. However, it is listed in a hierarchical format using Trades. Since no Trades have been setup yet, a NO GROUP shows.

  1. Click on the > next to the NO GROUP to expand it out and see the Company
  2. Click on the > next to the Company to expand it out and see the Contact.

There is a check mark next to the Contact which indicates this Contact is selected to be sent a Bid Invitation.

  1. Click the New Message button.

The Send Project Message form displays. This form is preconfigured to automatically send an Invitation to Bid email.

  1. Click the Send Message button.

The Invitation to Bid email is sent.

Not only can Invitation to Bid emails be sent but other types of messages can be sent such as:

  • Addendums
  • Bid Reminders
  • General Project Messages

In addition,

  • The Subject Line and Body of the text can be easily modified
  • The email can be branded with the company logo

JobPlanner has functionality to enable the Estimator/Project Manager to:

  • View whether the email was sent successfully, and whether it was viewed by the Bidding Participant
  • View whether JobPlanner was accessed by the Bidding Participant and the drawings downloaded
  • Manage the bid through the process
  • Send and respond to messages from the Bidding Participant
  • Award the bid

JobPlanner also has functionality to enable the Bidding Participant to:

  • View Drawings
  • Accept or decline the bid
  • Upload the bid submission
  • Send and receive messages
  • See Project Meetings
