Add People

People can be added to Inspection as Assignees, Points of Contacts or people that information is distributed to.

When Inspection Schedules are created, the People that the Inspection should be assigned to, added as point of contacts or included on the distribution list can be setup on the Inspection Schedule and will automatically populate on the Inspection created.

People can be added to an Inspection Schedule in a number of different ways;

  • From the Project Contacts List. See Project Contacts (Other) List - Overview.
  • Contacts can be added to the Project Contacts List right from the Inspection Schedule form and then selected to be setup on the Inspection Schedule. Contacts can be added to the Project Contacts list from the:
    • List of Users in the system. Only active users can be added.
    • From Bid Participants
    • From the Address Book (i.e. the Global Contacts List)
    • New Contacts can also be added directly from the Project and they will be automatically setup as a Project Contact as well as be added to the Global Contacts List/Address Book.
    • A Quick Search can be invoked to quickly search for a certain type of Contact or search for the Company Name, Contact Name or Email.

Add People

  1. Access the Inspection Schedules - Add/Edit/View form, see Inspection Schedules - Add or Inspection Schedules - View/Edit form.
  2. Navigate to the Inspection Defaults section. There will be three sections where People can be assigned:
  • Assigned To
  • Distribute To
  • Point of Contact

If no contacts have been added in a section, it will indicate "No Contacts Selected", otherwise the Contacts are listed. There may be more than one Contact in each section.

  1. Click on the Select Project Contacts button next to the type label to add People for

The Select Project Contacts form appears. It displays all the Project Contacts that have not yet been added for that type of People on the Inspection.

There are two options:

  • Add Project Contacts to this list (if they are not there) - then Select Project Contacts from the list

OR

  • Select Project Contacts from the list (if they are listed)
Add Project Contacts to the list

To add Project Contacts to the list so they can then be selected:

  1. Click the Add Project Contacts button.
  2. Select the appropriate option from the drop down

Projects - Add Contact(s) From Address Book

Projects - Add Contact(s) via Quick Search of the Address Book

Once the contacts have been added to the list, select the Project Contacts.

Select Project Contacts from the list
  1. Select the Project Contacts to add by clicking on the select box in the first column.

  1. Click the Save button.
  1. Add, Edit or View additional information on the Inspection Schedule, see More Information below.

OR

Click the Save button when all the changes have been made.

OR

Click the Close button to not make the changes.

OR

If editing an Inspection Schedule, the Inspection can be deleted directly from this form, click the Delete button.
