Cost Codes
This section is used to setup and maintain a generic list of global Cost Codes for Job Costing.
Each project must have their own set of Cost Codes setup. There is an option when creating Projects to add all or a subset of the Cost Codes that are setup here. See Settings - Cost Codes (and Cost Types) for more information.
Note* If Cost Types are going to be associated with Cost Codes, the Types should be setup before adding Cost Codes. See Settings - Cost Types.
This help contains instructions to:
- Access Settings for Cost Codes
- Search for a Division (to view, edit or delete existing Cost Codes) and sort by Division
- Expand and Collapse Divisions to view Cost Codes within those Divisions and sort by Cost Code within the Division (to then view, edit or delete or to change the Division for that Cost Code).
- Sort Cost Codes
When adding Cost Code(s), each must have a unique Code assigned. The same code can't be used within different divisions, it must be unique across all divisions. i.e. you can't have code 100 in Division 1 and then also in Division 2. Therefore, the division number may need to be included in the code for differentiation, such as 1-100 and 2-100.
To Access Settings for Cost Codes
- From the Global Menu option, click Settings
- From the Settings menu option, click Cost Codes
- Navigate to the Cost Code section

From this section;
- Cost Codes can be added, see Settings - Cost Codes - Add.
- A batch of Cost Codes can be imported, see Settings - Cost Codes - Import.
- All Cost Codes can be deleted, see Settings - Cost Codes - Delete All.
Existing Cost Codes can also be viewed, edited or deleted. Follow the instructions below to search for the Division and/or expand a Division to view the Cost Codes to then view, edit or delete. Cost Codes can also be sorted to find the Cost Code to view, edit or delete.
Search for a Division
To search for a division (and then view, edit or delete a Cost Code in that division):
- Click in the Search bar at the top of the Cost Codes section
- Type in the Division to search for
- As letters are typed the list of Divisions narrows to show only what matches

- Delete the letters entered to remove the search criteria.
- Sort by Division (if required). A dark arrow indicates that column is the currently active sorted column and the way it is pointing indicates the sort order.
- Dark Arrow Up: Ascending order - if in ascending order, characters are listed in reverse order A to A, then numbers, highest to lowest)
- Dark Arrow Down: Descending order - if in descending order, numbers are listed first, then characters A to Z)
- Click on the Division header to set the sort on that column
- To change the way a column sorts, click on the Division Header again to change the sort direction.
To Expand and Collapse Divisions
If there are Cost Codes already entered, they will be displayed, grouped, by Divisions and in a collapsed mode. i.e. only the Divisions showing.
- To expand out a Division and see the Cost Codes within it, click on the > arrow in the first column next to the division. That Division will be expanded out.
- To collapse a Division, click on the < arrow in the first column next to the division. That Division will be collapsed.

- To sort the Cost Codes within a Division (if required).
- Click on the column header to set the sort on that column
- To change the way a column sorts, click on the Column Header again to change the sort direction.
If a column can be sorted it will contain dark grey or light grey up and down arrows. A dark arrow indicates that column is the currently active sorted column and the way it is pointing indicates the sort order. Light gray means it can be sorted on that column but isn't currently.- Dark Arrow Up: Ascending order
- Dark Arrow Down: Descending order
