Inspections - Overview

Inspections are managed in JobPlanner as part of the Field Tools functionality.

Inspections enable the review and documentation of the conditions of the project and identification of any deficiencies. Other features such as actions items, scheduling, job costing etc. can be used in conjunction with inspections to address deficiencies.

Inspection can occur throughout the life cycle of the project.

The standard process for Inspections is that

  1. One person in the organization (likely the Project Manager) is responsible for creating the Inspection (or alternatively scheduling the Inspection to be created automatically)
  2. Then another person (such as the Superintendent) is responsible for doing the inspection and recording the inspection outcomes. This is usually done on site with the Android or IOS App. (Note* Currently IOS is supported with Android coming soon. Contact JobPlanner for more information).

Although the above is a standard process, alternatively processes are available as well (such as the same person creating the Inspections and then conducting and recording the outcome of the Inspection). Anyone that is assigned as Project Contact can be assigned to the Inspection.

The following is the functionality available in regards to Inspections:

Setup of Inspection Templates:
  • Predefine and setup different types of Inspection Templates:
    • Prepopulate general information for an Inspection (so that it doesn't have to be entered for each Inspection)
    • Add Attachments to a template so they are always included in each Inspection
    • Create a list of items to inspect and what set what kind of information should be recorded as the outcome of the Inspection
Inspection Creation
  • Create an Inspection for a project
    • Manually create the Inspection as required
    • Create a schedule of Inspections to be automatically created (either one-time or re-occurring)
    • Assign the Inspection to the people responsible
    • Setup distribution lists
    • Identify points of contacts
    • Set Inspection Due Dates
    Conduct the Inspection
  • Conduct the Inspection
  • Record details about the Inspection including recording the outcomes of the Inspection Items
Manage the Inspection
  • Review Inspection progression tracking and Inspection outcomes
  • Review Inspections that are Due
  • Review Inspections that are Overdue
  • Change the Status of an Inspection to "Submitted"
  • Close the Inspection
Report on Inspections
  • Run reports on Inspections either by Project or for the entire company
Other Inspection Functions
  • Export the Inspection to create a PDF form (either filled in or blank if the inspection is not yet done)
  • Email a PDF of the Inspection and track the history

Getting Started

Before Inspections can be created for a project, there are two mandatory steps and an optional step:

  1. The Project must be added, see Add a Project.
  2. Project Contacts are setup. Project Contacts can be assigned to Inspections as Assignees, Points of Contacts or put on a distribution list. This is optional as Project Contacts can be added directly from Inspections as required. See Project Contacts (Other) - Add Contacts.
  3. Setup the Inspection Types. This is required. See Settings - Inspections - Inspection Types.
  4. Optionally, setup Custom Response Types. See Settings - Inspections - Custom Response Types
  5. Setup at least one Inspection Template. See Settings - Inspections - Inspection Templates.
