Create Change Request Line Items on Contract Change Orders

This is an overview for creating Change Request Schedule of Value Line Items on Contract Change Orders Schedule of Values for the Simple List View. (see Change Requests - Multiple Lists and Views for more information).

The Change Request Schedule of Value Line Items can not be associated directly with a Contract, they can only be associated with a Change Order for a Contract (as its a change to the original approved Contract).

Status

The Status of both the Change Request and the Contract Change Order impact this functionality.

Change Request Schedule of Value Line Items can be created on Contract Change Order Schedule of Value Line Items only if the Change Request is in an Approved Status (see Change Request - Status for more information).

Contract Change Orders must be in certain Status(es) to enable Change Request Line Items to be created on them. See Change Request - Schedule of Values - Bulk Actions - Contract for more information.

Display and Functionality

When a Change Request Line Item is created on a Contract Change Order Schedule of Values:

  • The Contract Change Order automatically populates the Contract column on the Change Request Line Item
  • Both the Contract Change Order Schedule of Values and the Change Request Schedule of Values will display that relationship visually.

Multiple Way to add Change Request Line Items to Contract Change Orders

There are multiple ways to create the Change Request Schedule of Values Line Items on Contract Change Orders Schedule of Values:

  • During the Creation or Maintenance of the Contract Change Order Schedule of Values - Add all the Line Items automatically from the Change Request Schedule of Values.
    During the Creation or Maintenance of the Change Request Schedule of Values - Select Line Item(s) and create the Line Item(s) automatically on a Contract Change Order Schedule of Values.

Each process is outlined further below.

During the Creation or Maintenance of the Contract Change Order Schedule of Values

This method, automatically adds all the Line Items from the Change Request Schedule of Values that aren't already assigned to a Contract Change Order. Note* Individual Line Items from the Change Request can't be selected, all are added, however, the Line Items can be deleted from the Contract Change Order Schedule of Values after they are added (if needed).

This process would be to:

  1. Create or maintain the Change Request Schedule of Value Line Items as the first step.
  2. Create or maintain a Contract Change Order as the second step.
    1. For the Contract Change Order Schedule of Values automatically add all Line Items from the Change Request Schedule of Values.

During the Creation or Maintenance of the Change Request Schedule of Values

This method, enables individually selecting the Line Items from the Change Request Schedule of Values to add to a Contract Change Order (however, all could be selected as well).

This process would be to:

  1. Create or maintain the Change Request Schedule of Value Line Items first.
  2. From the Change Request Add or Edit form on the Schedule of Values component, select one or more Schedule of Values Line Items
    1. Create new Line Items on an existing Contract Change Order Schedule of Values (that match the Line Items on the Change Request Schedule of Values that were selected).
      OR
    2. Create a new Contract Change Order and create new Line Items on the new Contract Change Order Schedule of Values (that match the Line Items on the Change Request Schedule of Values that were selected).
