Status and Bid Amounts
Generally, a Contact will have one Trade, and they will be invited to bid on that one Trade.
However, it is possible that one Contact has more than one Trade and they are being invited to bid on one or more Trades. They may bid a total amount for both Trades or bid individual amounts for each Trade or only bid on one of the Trades.
All scenarios can be managed as:
Status can be set in three different places.
- Contact
- Contact Trade
- Company
Bid Amounts can be entered in two places
- Contact
- Contact Trade
Bid Amounts will also display at the Company level but can not be changed at the Company level.
The following is a detailed description of how it works, but the general best practice is to choose one place to manage the Status and Bid Amounts;
- At the Contact Level (and a total for all Trades is entered and one status is applied)
- At the Contact Trade Level (and a Bid Amount and Status is maintained for each individual Trade).
If there is only one Trade for a Contact, then its simpler to navigate and manage at the Contact level.
Company Row
Bid Amounts
Bid Amounts display at the Company Level but can not be entered or updated at the Company Level.
- If the View is Trade by Company, then for each Contact in that Company that has the top level trade group, the Bid Amount at the Contact level is totaled and displayed for the Company.
- If the View is Companies, all Bid Amounts entered for each Contact in the Company add up to total for the Company.
Status
Statuses can be set at the Company group level and propagated down to Contact and Contact Trade statuses OR Statuses of Contacts and Contact Trades within the Company can be changed and the status farthest along in the process will rollup and be used to automatically set the Company Status.
Statuses are set at the Company group level and the change propagates down to Contact and Contact Trade statuses:
- If the View is Trade by Company, and the status is set at the Company Level, the status will automatically change for the Contact Row(s) in that Trade group and only the Contract Trade Row(s) that match the Trade Group. (although ALL the Trades for the Contact display - if expanded out - only the ones that match the top level Trade Group are updated. The Contact Row in that Trade Group is always updated for this view).
- If the View is Companies, and the status is set at the Company Level, the status will automatically change for all the Contact Row(s) in that Trade group and all the Contract Trade Row(s). A prompt appears confirming the change and the action can be confirmed or cancelled. If confirmed all the Contact Trade Row statuses are updated with the same status as was set at the Company.
Statuses are set at the Contacts and Contact Trades level and automatically rollup to update the Company status:
- If the View is Trade by Company, and the status is changed for a Contact in that Trade Group, the Company status is updated only if this is the status that is farthest along in the process (if another Contact has a status that is farther along in the process for this Trade Group, the Company status will stay set at that status).
- If the View is Trade by Company, and the status is changed for a Contact Trade in that Trade Group,
- The Contact Row(s) in that Trade group will have the Status updated to match the Contact Trade Status only for this view (as the Contact row is representing that trade group)
- The Company status is updated only if this is the status that is farthest along in the process (if another Contact has a Contract Trade status that is farther along in the process for this Trade Group, the Company status will stay set at that status).
- Note* If a Contact Trade status is changed but it doesn't belong to this Trade Group, no changes occur in this Trade Group (they would change in the other Trade Group that is applicable).
- If the View is Companies, and the status is changed for a Contact, the Company status is updated only if this is the status that is farthest along in the process (if another Contact in the Company - regardless of Trade - has a status that is farthest along, the Company status will stay set at that status).
- If the View is Companies, and the status is changed for a Contact Trade, the Company status is updated to that Status only if it is the one farthest along in the process for all Contacts and all Contact Trades. The Contact status is updated to that Contract Trade Status only if it is the one farthest along in the process for that Contact.
Entering a Status for a Company is not applicable to the Contacts, Messages or Responses views as the Company Row doesn't appear in those views.
Contact Row
Bid Amounts
The following is how the Bid Amounts are impacted when they are set at the Contact Level:
- Bid Amounts entered at the Contact Level don't impact or change any Bid amounts entered for the Contact Trades below.
- Bid Amounts entered at the Contact Level automatically add up to total for the Company (and the automatic update is done each time a change is made to a Contact Bid Amount either manually or automatically). See Contact Trade Level, Bid Amounts below for more information.
Status
Statuses can be set at the Contact group level and propagated down to Contact Trade statuses OR Statuses of Contact Trades can be changed and the status farthest along in the process will rollup and be used to automatically set the Contact Status.
The Status set at the Contact Level:
Statuses are set at the Contact group level and the change propagates down to Contact Trade statuses:
- If the View is Trade by Company or Trade by Contact, the status set at the Contact Level will only propagate down to the Trades in that Trade Group (not all the Trades for the Contact)
- If the View is Companies or Contacts or Responses, the status set at the Contact Level will propagate down to the ALL Trades for the Contact (a prompt appears confirming that the status for all Trades for the Bidding Participant should be changed and the action can be continued or cancelled)
Statuses are set at the Contact Trades level and automatically rollup to update the Contact status:
- If the View is Trade by Company or Trade by Contact, and the status is changed for a Contact Trade, the Contact status is updated to that Contract Trade Status only if it is the one farthest along in the process for that Contact.
Contact Trade Level
Bid Amounts
The following is how the status and Bid Amounts at the Contact level are impacted when they are set at the Contact Trade Level:
- Bid Amounts entered at the Contact Trade Level, are automatically added together and totaled at the Contact level. Note* This is not impacted by the View. The Bid Amounts entered for all Contact Trades are added together to get the Bid Amount for the Contact (even if the View is Trade by Company or Trade by Contact, all amounts in all Contract Trades - not just the one that matches the top level Trade group - are added together).
- It is possible to over-ride the Bid Amount at the Contact Trade Level (so the Contract Trade Row amounts added up don't equal the Contact Trade row Bid Amount). It is not recommended to do this. Either a total amount for the Contact with all Trades should be entered at the Contact Level (and the Bid Amounts at the Contact Trade level are left at $0) OR enter the Bid Amounts at the Contract Trade level and let the system automatically calculate the total and enter it automatically at the Contact Level. NOTE* If a Contact Trade Bid Amount is changed, it will automatically recalculate and over-write the total.
Status
- The Status set at the Contact Trade Level, will automatically update the Contact Status with the status of the one farthest one along in the process but the update depends on the View:
- If the View is Trade by Company or Trade by Contact, only the statuses of the Contact Trade that matches the top level trade group are reviewed and the one farthest along will be used to automatically set the Contact Status (as it is specific to that Trade only).
- If the View is Companies or Contacts or Responses, then the status of all Contacts and all the Contact Trades are reviewed, and the one farthest one along in the process will automatically be set for the Contact.
