Bidding Messaging List - Turn on or off columns to display

Contact Columns

The following are the available Columns to display for Contact rows, for each View.

The Contact columns that display can be set specific to each view.

There are standard columns that are applicable for all views and all views have mostly the same columns except for the Messages and Responses View which have some different columns.

Bidding Process Specific - the column is specific to the project and bidding process

Calculated - the information is calculated automatically

Generated - the information is automatically generated by the system

Company Details - this information is entered at the Company level and specific to a Company.

Contact Details - this information is entered for each individual Contact in the Company.

These are all the Trades for the Contact. See Bidding Messaging List – Row Types - Contacts.

Contact Level Information - Trades are entered and maintained for each Contact. See View/Add/Edit Contacts (and Companies) - Trades.

Distance

The approximate distance for the Contact from the Project Address.

Each zip code has a single latitude and longitude which is roughly the center of that zip code. The system calculates a straight line between the center of the zip codes, so it is an approximation.

Grade

x

x

The averaged Grade for the Company for all projects and bidding processes that the Company has been added to and have been rated.

Bidding Process Specific but averaged at the Company level.

This also contains functionality to view and set the Grade for this specific Bidding process.

Contact Type

The Type of Contact.

Comments (Company)

Comments entered at the Company Level.

This is calculated automatically by adding up all the Bid Amounts entered on the Contact Trades row for this group.

The status that is farthest along in the process for this Contact is displayed. See Bidding Messaging List – Row Types - Contacts.

Activity

This is an advanced ranking feature that is not used in all organizations. It displays the average ranking of this Contact in regards to Bids and can be viewed to assist in the Bid management process.

Access Key

x

A code that is automatically generated by the system to allow Bidding Participants to go to the JobPlanner website and enter the key to access the system and update their bid information (instead of having to be set up as a user in the system with a Username and Password.)

By default, the key is valid as long as the contact is active (in the Contacts List) and the project is active.

Generally, to remove an access key for a specific contact, remove the Contact from the Contact list. See Project Contacts (Other) - Remove.

Note* Jobplanner can supply additional features to deactivate the access key automatically (for example, 2 days after the bid due date). Contact JobPlanner for more information on that feature.

There is also a Key icon in this column that can be clicked to copy the access key (and paste it elsewhere).

Broadcast Status

x

The status of the emails sent to contacts:

  • EMAIL SENT
  • EMAIL FAILED
  • blank (the email has not been sent)

This will role up to the Broadcast Status on the Message row. See Bidding Messaging List – Row Types - Messages.

Delivered

x

The Date the email was delivered (if sent successfully). If the email was sent but not delivered successfully it will display as N/A.

Opened

x

The Date the email was delivered (if sent successfully) and opened. If the email was sent but not delivered successfully it will display as N/A.

Responded

x

The Date the contact clicked on one of the Project Status' such as "Accept" or "Decline"

If this has not happened, this will display as N/A.

Custom Company Fields

x

x

Any Custom Fields that have been setup for Companies.
