Cost

This is the expected Cost of this Line Item.

The Cost may be entered two different ways depending on the Accounting Method set. See Change Request - Schedule of Values - Accounting Method for more details:

  • If it is Amount Based, just a single Cost amount may be entered. This can be left as $0.

OR

  • If it is Unit-Qty Based, the Quantity, Unit of Measure and Unit Price is entered, then the cost is automatically calculated. The Quantity and Unit Price can be left as $0 but a Unit is required. The Cost won't display on the Line Items but is used in calculations.

The Cost is used in the Over/Under calculation. See Change Request - Schedule of Values - Line Item - Over/Under.

The cost can be automatically updated from an Approved RFQ. See RFQs - Overview.

The Cost is always displayed.

The Cost can be entered during the initial add as well as added or changed after the form has been saved (but only until the Change Request Status is changed to Approved, Rejected or Void).

It also can not be changed once the Line Item is added to a Commitment or Commitment Change Order.

Note* How columns display for the Line Items on the Schedule of Values display depends on various factors, see Change Request - Schedule of Values – Layout and Navigation. As well, to see all the columns, it may be required to scroll right and left.

Costs are also copied to Commitments or Commitment Change Orders if the Line Item is created on a new or existing Commitment or Commitment Change Order. See Assign Change Request Line Items to Contracts and Commitments - Cost and Revenue for more information.

If the Revenue Source is set to Cost, as the Cost amount is entered, the Revenue column is updated with the same value (this can be changed). If the Revenue Source is set to Manual, the Revenue column is left blank and must be updated manually. (See Change Request - Add/Edit/View - General Information for more details on setting the Revenue source).

Entering a Cost for Amount Based

If the Accounting Method is set to Amount Based, the line items will have a single Cost column.

  1. If the Cost column is not selected, click on it to select it.
  2. Enter the Cost (excluding taxes or Financial Markups).

If the Revenue Source is set to Cost, as the Cost amount is entered, the Revenue column is updated with the same value (this can be changed). The above example has the Revenue source set to Cost so it is automatically updated.

If the Revenue Source is set to Manual, the Revenue column is left blank and must be updated manually.

Entering a Cost for Unit Quantity Based

If the Accounting Method is set to Unit-Qty Based, the line items will have a

  • Quantity
  • Unit
  • Unit Price

for the Cost. All three columns are required.

  1. Enter the amounts for all three columns.

The Subtotal of that Line Item is automatically calculated by multiplying the Quantity x Unit x the Unit Price (then adding any financial markups applicable).

Enter additional details and/or Save the Information (and end this session)
  1. Enter other Line Item Information, see More Information below.
    OR
    Click the Save button (at the bottom of the form) to save the Change Request.

    This saves the Change Request including any information on the General, Schedule of Values and Financial Markups Components.
    This list the function was invoked from displays. See Next Steps below.
    OR
    Click the Save & Email button (at the bottom of the form) to save the Change Request and email it.
    Click here for more information on the Save and Email function.
    This saves the Change Request as including any information on the General, Schedule of Values and Financial Markup components and sends an email with a link to the Change Request in JobPlanner (and optionally include the Change Request as a PDF attachment in the email). The Email can be sent to any Project Contacts. The Email Change Request form displays, see Email Change Request.
    OR
    Click the Close button (at the bottom of the form) to close the form without saving the Change Request.

    If no information was changed or entered, the list the add or edit function was invoked from displays, see Next Steps below.

    If information was changed, then an additional prompt displays indicating there were changes and additional prompts on what to do.



    Click the Cancel button to cancel the Close action and return to the Change Request View/Edit form (see the steps above)
    OR
    Click the Don't Save button to cancel changes to the Change Request. The list the add or edit function was invoked from displays, see Next Steps below.
    OR
    Click the Save button to save the Change Request including any information on the General, Schedule of Values or Financial Markups components. The list the add or edit function was invoked from displays, see Next Steps below.

Display of the Cost

When the Costs can be entered, they display as shown in the examples above.

If the Line Item has been created on a Commitment or Commitment Schedule of Values, it is a display only and can't be edited.
